Administrative assistant

The INCF Secretariat, located at Karolinska Institutet campus in Stockholm, Sweden, is looking for a highly organized and service minded person to coordinate the everyday practicalities of the Secretariat. Responsibilities will include inventory and ordering of office supplies, contact with suppliers and service providers, assistance with office practicalities, data entry, archiving, and assisting scientific and other staff with meeting administration and financial administration.

A requirement for this position is fluency in Swedish and English, as well as excellent interpersonal skills. We emphasize the person’s ability to be a team player and contribute to an amiable and productive work environment. The successful candidate is a fast learner and a problem solver with an optimistic approach to challenges. The position may include a limited amount of irregular working hours due to collaboration in different time-zones.  

EDUCATION/ EXPERIENCE

Required:

  • Documented experience of administrative/secretarial work

SKILLS

Required:

  • Fluency in Swedish and English
  • Excellent organizational and interpersonal skills
  • Proactive and service minded work attitude
  • Proficiency in MS Office

Desired:

  • Documented experience in bookkeeping and purchasing
  • Previous experience from KI-systems such as Agresso and Primula is an advantage
  • Knowledge of Google apps, Skype, Doodle and other similar web applications for office use
  • Knowledge of recent versions of Adobe Creative Suite is an advantage

Employment

Part time position: 80%. The position is initially a 1-year contract with possible prolongation for the right candidate. Competitive salary, set according to the qualifications and experiences of the successful candidate.
